1. Introduction

Mailers Haven LLC (“Mailers Haven,” “we,” “our,” or “us”) provides business-to-business direct marketing services, customer data processing, audience development support, printing, direct mail, fulfillment, postage coordination, account tools, reporting, and related technology and professional services.

Mailers Haven LLC owns and operates 24Pound, a printing and direct mail service brand. Unless otherwise indicated, references to Mailers Haven include services provided through Mailers Haven and 24Pound.

This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit our websites, create or access a business Account, request information, purchase or use Services, submit Customer Materials, communicate with us, participate in promotions or the Rewards Program, or otherwise interact with us.

Our Services are intended for business Customers and individuals acting on their behalf. They are not intended for personal, family, or household use.

2. Scope

This Policy applies to Mailers Haven and 24Pound websites, customer portals, online Accounts, quote and contact forms, order forms, support tools, downloadable resources, APIs, and other online or offline Services operated by or on behalf of Mailers Haven that link to or reference this Policy.

It does not apply to independent third-party websites, applications, data providers, postal authorities, carriers, or services that operate under their own privacy notices.

3. How Our Services Work

Mailers Haven performs customer-requested services for business Customers. The information we handle depends on the Service requested.

Customers may submit Customer Materials directly through a website, portal, secure transfer tool, email, or another approved method. In some cases, Mailers Haven personnel may upload or process files on the Customer’s behalf. We may encourage or require more secure submission methods for certain files or Services.

Certain Services also involve Third-Party Data obtained or licensed from independent providers. Mailers Haven may use Third-Party Data to provide Customer-requested counts, audience selections, append, matching, suppression, hygiene, formatting, campaign preparation, printing, mailing, email deployment, digital activation, reporting, or related Deliverables. Customers receive only the usage rights described in the applicable order, agreement, or data-provider restrictions and do not acquire ownership of the underlying database.

Customer Materials remain the property of the Customer. Mailers Haven does not sell Customer Materials, including customer-uploaded lists; incorporate Customer Materials into Mailers Haven proprietary marketing databases; use Customer Materials to build Mailers Haven marketing lists; or use Customer Materials for Mailers Haven’s own direct marketing campaigns.

4. Definitions

Account: a registered business account used to access or manage Services.

Authorized User: an individual who accesses or uses Services on behalf of a Customer.

Customer: the business, organization, or legal entity that purchases, accesses, or uses Services.

Customer Materials: mailing lists, customer databases, email files, suppression files, artwork, PDFs, print files, spreadsheets, order files, logos, images, offers, QR codes, URLs, postal information, or other information or files provided by or on behalf of a Customer.

Deliverables: customer-requested files, reports, processed outputs, audience outputs, printed materials, campaign materials, mailing outputs, or other results made available through Services.

Personal Information: information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked with an identifiable individual, as defined by applicable law.

Services: Mailers Haven and 24Pound websites, portals, software, APIs, applications, service bureau services, data processing, audience development, printing, direct mail, fulfillment, postage coordination, reporting, account tools, professional support, and related offerings.

Third-Party Data: data obtained or licensed from independent providers for use in Customer-requested Services or Deliverables.

Vendor: a third party that performs services for Mailers Haven or assists in providing Customer-requested Services.

5. Information We Collect

5.1 Business Contact and Account Information

We may collect names, company names, job titles, business email addresses, business phone numbers, mailing, billing and shipping addresses, usernames, authentication information, Account status, permissions, order history, saved quotes, rewards activity, and related business records. Customers may request or create Accounts, but Mailers Haven may approve, deny, suspend, restrict, or close Accounts. Accounts belong to the business Customer, not an individual Authorized User.

5.2 Transaction and Payment Information

We may collect order and quote details, invoices, payment status, payment method, billing address, tax information, ACH, wire, check, net-terms, and related financial records. Payment card and certain banking information may be processed directly by third-party payment processors. Mailers Haven does not intentionally store complete payment card numbers in its own systems.

5.3 Customer Materials

We collect or process Customer Materials submitted or provided in connection with requested Services. Customers should not provide Sensitive Personal Information unless it is necessary for the requested Service and the Customer has the legal right to provide it.

5.4 Third-Party Data and Service Inputs

Depending on the Service, Third-Party Data may include identifiers, contact data, marketing, demographic, geographic, property, consumer, business, professional, household, interest, audience, or similar information. We may append, match, suppress, format, enrich, model, or otherwise process information as part of Customer-requested Services.

5.5 Communications

We collect information provided through email, telephone, online meetings, forms, live chat, portals, and support tools. This may include message contents, attachments, chat transcripts, call metadata, voicemail, timestamps, and support history. Calls or online meetings may be recorded for quality assurance, training, support, documentation, security, compliance, and operational purposes where permitted by law. We provide notice or obtain consent where required.

5.6 Website and Technology Information

We may collect IP address, browser and device type, operating system, referring pages, pages visited, links clicked, form interactions, timestamps, approximate location derived from IP address, session and event information, conversion information, cookie identifiers, and similar technical or usage information.

Our websites currently use technologies such as HubSpot tools, Google Analytics, live chat tools, hosting and security tools, and payment-processing technologies. Different websites and pages may use different technologies. We may add, remove, replace, or reconfigure vendors and technologies as our Services evolve.

5.7 Marketing, Resources, Events, and Rewards

We may collect contact, company, preference, download, webinar, promotion, email engagement, and Rewards Program information. Mailers Haven does not currently send SMS or text-message marketing.

6. How We Use Information

  • Provide Customer-requested Services, including data processing, counts, audience support, append, matching, suppression, hygiene, formatting, reporting, printing, direct mail, fulfillment, postage coordination, email deployment, campaign execution, and related support.
  • Process Customer Materials only as reasonably necessary to provide requested Services, support Customers, maintain and secure systems, comply with law, resolve disputes, enforce agreements, and protect the integrity of Services.
  • Use Third-Party Data as an input to Customer-requested Services and limited-use Deliverables.
  • Create, approve, authenticate, administer, suspend, and close Accounts; manage Authorized Users, quotes, orders, invoices, and Rewards.
  • Respond to inquiries; provide support; send transactional, service, legal, educational, and permitted marketing communications.
  • Operate, secure, troubleshoot, analyze, and improve websites, portals, forms, live chat, payment workflows, and Services.
  • Measure website usage, form completion, campaign effectiveness, and business performance.
  • Process payments, maintain accounting and tax records, manage collections, refunds, credits, and financial controls.
  • Prevent fraud, abuse, spam, unauthorized access, technical problems, and misuse.
  • Comply with legal, regulatory, contractual, postal, privacy, tax, accounting, Vendor, and data-provider requirements.

7. Cookies and Similar Technologies

We use cookies, pixels, scripts, tags, local storage, server logs, embedded tools, and similar technologies to operate and secure our websites, authenticate users, support forms and live chat, understand website usage, process transactions, measure marketing effectiveness, and support business operations. 8. How We Disclose Information

8.1 Vendors and Service Providers

We disclose information to Vendors that support hosting, security, customer relationship management, communications, email, live chat, analytics, advertising measurement, payment processing, accounting, printing, mailing, fulfillment, data processing, professional services, and other business operations. Vendors may use information only as permitted by their contracts, applicable law, and the purposes for which information is provided.

8.2 Customer-Requested Services

We may disclose Customer Materials, Third-Party Data, Deliverables, or related information to data providers, print vendors, mail service providers, email deployment vendors, digital activation vendors, fulfillment partners, postal authorities, carriers, or other third parties when reasonably necessary to perform a Customer-requested Service.

8.3 Customer Accounts

We may make Account information, order history, communications, files, rewards activity, invoices, and related records available to Authorized Users associated with the same Customer, subject to Account permissions and support needs.

8.4 Legal and Business Purposes

We may disclose information to comply with law, legal process, regulatory requests, privacy requests, tax, postal, Vendor, data-provider, or contractual requirements; protect rights, property, safety, security, and integrity; investigate suspected wrongdoing; or establish, exercise, or defend legal claims.

8.5 Business Transactions

Information may be disclosed in connection with a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, transfer of operations, or similar transaction, subject to applicable law.

9. Customer Materials

Customer Materials remain the property of the Customer. Mailers Haven processes Customer Materials according to the Customer’s requested Services and instructions. Customers are responsible for ensuring they have the rights, notices, permissions, consents, authorizations, and lawful bases necessary to provide Customer Materials and direct Mailers Haven to process, print, mail, fulfill, transmit, or otherwise handle them.

Mailers Haven does not sell Customer Materials, including customer-uploaded lists, or use Customer Materials for unrelated marketing or database-building purposes. Limited operational uses necessary for support, security, legal compliance, dispute resolution, and enforcement are not considered unrelated uses.

10. Third-Party Data and Limited-Use Deliverables

Certain Services involve Third-Party Data obtained or licensed from independent providers as an input to Customer-requested Services. Mailers Haven may use that data to prepare counts, audience selections, appended or matched files, mailing or campaign files, reports, digital activation outputs, and other limited-use Deliverables. Customers receive only the rights stated in the applicable agreement, order, quote, service instructions, and data-provider restrictions and do not acquire ownership of an underlying list or database.

Third-Party Data and related Deliverables may be subject to one-time-use, time, channel, geography, quantity, suppression, privacy, responsible-marketing, and other restrictions.

11. Sale, Sharing, and Targeted Advertising Choices

Mailers Haven does not sell Customer Materials, including customer-uploaded lists, or customer Account information. Certain customer-requested Services may involve Third-Party Data licensed from independent providers and used to create limited-use Deliverables. Additional information regarding California privacy rights and choices is provided in our California Privacy Notice.

12. Communications and Marketing

We send service, transactional, Account, support, order, billing, legal, and policy communications. We may also send business marketing emails, newsletters, product announcements, educational resources, webinar invitations, and promotions where permitted. Recipients may unsubscribe from marketing email using the unsubscribe mechanism in the message or by contacting us. Opting out of marketing does not prevent service, transactional, legal, or Account communications.

13. Data Retention

We retain information only as long as reasonably necessary for the purposes described in this Policy, including providing Services, maintaining Accounts, supporting Customers, satisfying legal and contractual requirements, protecting security, resolving disputes, enforcing agreements, and maintaining business records.

14. Information Security

Mailers Haven maintains commercially reasonable administrative, technical, and physical safeguards designed to protect information entrusted to us. No system can be guaranteed to be completely secure. Customers are responsible for protecting credentials, managing Authorized Users, using secure submission methods where available, and promptly reporting suspected unauthorized access or misuse.

15. Business Accounts and Authorized Users

Accounts belong to the business Customer. Customers are responsible for Authorized Users, credentials, Account information, approvals, use of Services, and compliance with agreements and law. Mailers Haven may approve, deny, suspend, close, or restrict Accounts for business, security, legal, compliance, operational, nonpayment, or risk-management reasons.

16. Privacy Rights and Requests

Depending on your location and the information involved, you may have rights to request access, correction, deletion, portability, information about processing, or to opt out of certain sales, sharing, targeted advertising, profiling, or uses of sensitive information. Rights are subject to applicable definitions, exemptions, and verification requirements.

We do not require identity verification for an opt-out request unless reasonably necessary to determine whether the request is fraudulent. Authorized agents may be required to provide proof of authority.

Because we provide Services to business Customers, some information may be held on behalf of a Customer. Where appropriate, we may direct a request to the relevant Customer or assist the Customer in responding.

18. International Visitors

Mailers Haven is based in the United States and primarily serves U.S. business Customers. If you access Services from outside the United States, information may be processed in the United States and other locations where Vendors operate. Those locations may have different privacy laws.

19. Children’s Privacy

Our Services are intended for business Customers and are not directed to children. We do not knowingly collect Personal Information from children through our websites or Accounts. If we learn that information was collected from a child in a manner requiring deletion, we will take appropriate steps.

20. Changes to this Policy

We may update this Policy to reflect changes in Services, technologies, Vendors, legal requirements, or business practices. The Last Updated date identifies the most recent revision. Material changes may be communicated through the website, Account, email, or another appropriate method.
